Business Email Not Sending or Receiving — How to Fix
Diagnose and fix common business email delivery problems including spam filtering, MX record issues, and SMTP authentication errors.
Fixing Business Email Delivery Problems
Email issues fall into two categories: not sending (outbound) and not receiving (inbound). Here is how to diagnose each.
Not Receiving Emails
Check 1 — Verify MX Records- Go to mxtoolbox.com/MXLookup.aspx
- Enter your domain
- Confirm MX records point to
mail.yourdomain.co.keor Braysons Host mail servers
If MX records are wrong, update them in cPanel → Zone Editor.
Check 2 — Check Spam/Junk FolderEmails may be delivered but filtered to spam. Check your webmail spam folder at https://yourdomain.co.ke/webmail.
A full mailbox rejects incoming mail.
- Log into cPanel → Email Accounts
- Check the storage usage next to your email address
- If full, delete old emails or increase the quota
Not Sending Emails
Check 1 — SMTP SettingsVerify your email client is configured with:
SMTP Server: mail.yourdomain.co.ke
SMTP Port: 587 (STARTTLS) or 465 (SSL)
Authentication: Required
Username: your full email address
Password: your email password
Check 2 — Check if Your IP is Blacklisted
Visit mxtoolbox.com/blacklists.aspx and enter your server IP. If blacklisted, contact our support team — we will request delisting.
Check 3 — SPF RecordEnsure your domain has a valid SPF record:
v=spf1 include:braysons.co.ke ~all
Add this as a TXT record in cPanel → Zone Editor.
Testing Email Delivery
Send a test email to mail-tester.com — it will score your email configuration and highlight any issues.
